1. Overview
At Calvary Smart School, we are committed to transparency, fairness, and the highest standards of service across all six of our educational Maisons — Preschool, Primary, High School, Boarding School, Online School, and Night School. This policy governs all fees, payments, and refund requests made in connection with enrolment, tuition, boarding, and supplementary services.
2. Tuition & Enrolment Fees
Registration/Application Fee
The registration fee is non-refundable once an application has been submitted and processed, regardless of whether the learner subsequently enrols.
Acceptance/Placement Deposit
A placement deposit is required upon acceptance to secure the learner’s place. This deposit is non-refundable if the learner withdraws after the confirmed enrolment deadline communicated at the time of acceptance.
Tuition Fees
Tuition fees are charged per term. Refund eligibility is as follows:

3. Boarding Fees
Boarding fees cover accommodation, meals, and residence supervision. The following applies:
Cancellation before the term commences: 100% refund
Withdrawal within the first week of term: 50% refund
Withdrawal after the first week: No refund
Medical withdrawals supported by a certified medical certificate will be assessed individually and may qualify for a pro-rated refund at the school’s discretion.
4. Online School Fees
For learners enrolled in the Cambridge Online School maison:
Cancellation before course commencement: 100% refund
Cancellation within 7 days of course commencement: 50% refund
Cancellation after 7 days: No refund
Access to digital learning materials, platforms, and assigned learning coaches is activated upon enrolment; fees associated with activated access are non-refundable.
5. Night School Fees
Night School fees follow the same term-based refund schedule as tuition fees above. Given the flexible, mastery-based nature of the Night School programme, learners who need to defer rather than withdraw are encouraged to contact the administration to arrange a fee transfer to a future term where possible.
6. Uniforms, Materials & Supplementary Items
Purchased uniforms, textbooks, stationery packs, and other physical items may be returned within 14 days of purchase, provided they are:
Unused and unworn
In original condition with all tags/packaging intact
Accompanied by proof of purchase
Items showing signs of use, damage, or alteration will not be accepted for return. Refunds for eligible items will be processed within 7 business days to the original payment method.
7. Examination & External Assessment Fees
Fees paid to external examination bodies (Cambridge Assessment International Education or ZIMSEC) on behalf of learners are governed by those bodies’ own refund policies and are not refundable by Calvary Smart School once submitted.
8. How to Request a Refund
All refund requests must be submitted in writing to:

Requests must include the learner’s full name, branch/maison, reason for the request, and proof of payment. Refunds are processed within 10 business days of approval and returned via the original payment method (EcoCash, bank transfer, or cash, as applicable).
9. Exceptional Circumstances
Calvary Smart School recognises that exceptional circumstances — such as serious illness, bereavement, or national emergencies — may warrant consideration outside this standard policy. Such cases will be reviewed compassionately and individually by school leadership. Supporting documentation will be required.
10. Policy Updates
This policy is reviewed annually. Any updates will be communicated to enrolled families and published on the school’s official channels. Continued enrolment constitutes acceptance of the current policy.
